AI acceptable use policy
for RTOs.
Students and trainers are using AI in assessments, training delivery, and administration. Without a documented AI acceptable use policy, your RTO faces ASQA non-compliance, assessment integrity risk, and APP exposure from December 2026.
The risk
Where RTOs are most
exposed to AI risk
Assessment integrity and ASQA scrutiny
Students are using AI tools to complete assessments. Without a documented AI acceptable use policy covering academic integrity, assessment design, and trainer oversight, your RTO cannot demonstrate compliance with Standards for RTOs 2015 during an ASQA audit or re-registration.
Student data in AI platforms
Trainers use AI tools for marking, feedback generation, and administrative tasks — processing student personal information in US-hosted platforms without consent or governance. APP 11 applies to all RTOs, and USI obligations add further data handling requirements.
No documented AI policy for audits
ASQA requires RTOs to have documented policies and procedures for all aspects of training delivery. AI use by trainers and students is now a governance gap that auditors are beginning to probe — and "we haven't written a policy yet" is not an acceptable audit response.
The platform
Three modules for
RTO AI governance
1
AI Tool Inventory
Discover every AI tool used by trainers, assessors, admin, and support staff — from AI marking tools and LMS integrations to ChatGPT for training content creation. Builds a live AI inventory register with data types and risk exposure by role, supporting your AI risk assessment obligations as a regulated training organisation.
2
Policy & Disclosure Pack
Generate an AI acceptable use policy tailored to Standards for RTOs 2015 and ASQA compliance requirements. Includes separate policies for trainer AI use and student AI use in assessments, APP 1.7–1.9 compliant student privacy disclosure updates, and AI vendor risk assessment templates for your LMS and EdTech tools.
3
Audit Evidence & Trust Centre
Immutable audit log of AI governance activities — policy reviews, staff training completions, vendor assessments, and incident records. Export a board-ready PDF for ASQA registration renewal and compliance visits. Show auditors documented AI governance from day one.
Compliance obligations
The regulations your
RTO must meet
Standards for RTOs 2015 — governance and quality management obligations covering AI use in training delivery and assessment
ASQA compliance requirements — documented AI policies and procedures for audit and re-registration
Australian Qualifications Framework — assessment integrity requirements when students use AI tools
Privacy Act 1988 / APP 11 — secure handling of student personal information processed by AI tools
Unique Student Identifier (USI) Act — obligations when AI tools interact with USI-linked student data
APP 1.7 — disclosure of AI data handling in student-facing privacy notices from December 2026
Two-week assessment.
